Responsibilities
With supervision, complete general administrative duties on time with high quality.
Answer incoming phone calls, greet and assist visitors, and direct patrons to appropriate personnel.
Coordinate truck schedules, weigh trucks and maintain driver E logs.
Set up customer contracts, generate invoices, transfer documents and perform accurate data entry into various systems.
Collect direct payments, input bulk orders, reconcile receipts, issue credits, and prepare deposits.
Maintain files including accurately entering all information, keeping files updated and maintaining complete electronic file documentation.
Order office supplies and maintain a clean office.
Schedule meetings, arrange facilities, logistics and catering and distribute meeting information.
Assist in preparing presentations, organizational charts, phone lists, etc.
Provide clear communication with location managers, board members, and patrons.
Manage multiple projects and prioritize work to meet all required timelines.
Maintain a full understanding of company products and services.
Work with sensitive material and maintain highest level of confidentiality and integrity.
Maintain and promote a strong safety culture and follow all safety policies, procedures and regulations.
Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.
Perform other duties as needed or assigned.
Minimum Qualifications (required)
Knowledge of Office and Facilities Services
High School diploma or GED
Must meet minimum age requirement
Knowledge of Administrative Support
Additional Qualifications
Proficient in Microsoft Office suite & teams
Customer service skills
Familiarity with accounting software, preferred
Strong communication skills both written and verbal
Basic math skills
Ability to work extended hours during peak seasons to meet business needs
